Camera Replacement Process for Romanian Companies (RMA / Upgrade)

Purpose

This process applies when a camera replacement is requested for Romanian companies, either for RMA or upgrade purposes.


Procedure

Receive the replacement request

Confirm whether the request is for:

RMA replacement

Hardware upgrade

Hardware downgrade

Preventive replacement

Coordinate with technician

Forward the request details to technician Aurelian Cenusa.

Confirm replacement feasibility, scheduling, and required hardware with the technician.

Keep both the client and technician updated within the ticket communication.

Gather required information

Collect the following details:

Company name

Vehicle name/registration

Old camera serial number

New camera serial number

ICCID of the replacement unit

Reason for replacement

Supporting pictures if available

Validate replacement details

Ensure serial numbers and ICCID are correct and complete.

Maintain the same device type unless the request specifically involves an approved upgrade or downgrade.

Determine whether the old SIM card should be suspended or permanently terminated.

Confirm the SIM card for the replacement device is active and has an appropriate data allowance allocated.

Notify Madalina

Send the following information to Madalina for review and approval:

Old serial number

New serial number

Vehicle details

Reason for replacement

Do not include ICCID information in the approval request.

Wait for approval

Do not perform any back-end or platform changes before approval is received from Madalina.

Apply system changes

After approval:

Replace the old serial number with the new serial number in the system.

Update ICCID information where required.

Confirm correct vehicle assignment.

Verify the replacement unit appears online and communicates correctly.

Final verification

Check live status and event uploads if applicable.

Confirm replacement completion internally and update ticket records.

If connectivity issues are observed after replacement, further investigation or escalation may be required.

Important Notes

No serial replacement must be performed without prior approval.

Always keep a record of:

Old serial number

New serial number

ICCID

Vehicle details

Ensure all replacement details are documented for future reference and tracking purposes.
